Electronic Payments in Plexflow made easy
Getting started (Landlord)
1. Requesting access to electronic payments
Go to your account page (accessible by pressing the User icon from the top right and selecting Profile) and press on the button Get Verified. This will send us a request to verify your account and grant you access to electronic payments, this usually takes a 15-30mins but can take up to 2 days.
2. Connect your bank account
Once you are verified, you will receive an email indicating that you are now a verified landlord on Plexflow. The next step is to connect your bank account. Press the button in the email you received or go back to your account page and press on the button Setup bank transfer. You will be redirected to the onboarding page. From there, press the Setup Bank Transfer button and press the next button Connect Bank Account, select the Automatic option. You will be redirected to our trusted and secure banking partner.
Steps to follow on banking partner page:
- Select your bank account and enter your card number and password you use for online banking (if you do not have an online banking account we recommend you create an online banking account or return to the previous step and select Manual bank connection instead).
- You will guided through a Multi Factor Authentication (MFA) process if enabled where you will have to enter the code you receive by SMS or Voice Call. If you do not have MFA enabled, this step will be skipped.
- You will be shown a list of Accounts to select from, select the right account to connect to and press confirm
Once all this is done, you will be redirected to Plexflow and you will see a checkmark message indicating that your account is now connected.
Congratulations! Your account is now ready to accept fully automated electronic payments on Plexflow! Move to the next step to see how to create a Rent with electronic payment enabled.
3. Preparing a rent with electronic payments
From the dashboard, identify a vacant unit you want to prepare a rent for and press the arrow next to the Vacant text. From there select either With electronic lease or Without electronic lease (both options can work with electronic payments but for this guide we will use Without electronic lease).
Enter the Start and End date of the rent and select payment method as Bank Transfer. You have the option to Collect payment upon lease confirmation this will trigger a bank transfer immediately once the tenant confirms the rent and connects their bank account. Or you can select to enter a manual date of Next payment. Finally, enter a rent payment amount and press on the Prepare rent button to move to the next step.
From there, you have 2 options.
Option 1 (recommended approach): invite a tenant to join Plexflow and gain advantages such as Messaging, faster payment processing, automatic payment failure notifications among many others.
Option 2: in the case where the tenant does not have the ability to use Plexflow, you can setup the electronic payment using a signed PAD ( download link here) and a specimen cheque. This option has slower payment processing times (see table below + LINK IT)
For this guide, we will continue with option 1 by inviting a tenant. Press on the Invite a tenant button and enter the Name and Email of the tenant to invite. Finally, press on the green Invite tenant button to finalize this step. Your tenant will now receive an invite to confirm the rent and connect their account, continue to the next step to see what the tenant will have to do, or link them this guide to help them!
4. Tenant confirms the rent
As a tenant, you will receive an email from Plexflow with the subject Plexflow Rent Request. You will need to press on the View details button to be redirected to Plexflow and confirm the rent request.
From there you will see all the details of the rent. Press the green Proceed button to continue to the next step. If you do not have a Plexflow account, you will be prompted to Login. Press the Go to login button and create a Plexflow account by following the steps. Once your account is created, you will be redirected back to this page and you will have to press the green Proceed button once again.
From there, press on the green Connect your bank account button and follow the steps to connect your bank account:
- Select your bank account and enter your card number and password you use for online banking (if you do not have an online banking account we recommend you create an online banking account or return to the previous step and select Manual bank connection instead).
- You will guided through a Multi Factor Authentication (MFA) process if enabled where you will have to enter the code you receive by SMS or Voice Call. If you do not have MFA enabled, this step will be skipped.
- You will be shown a list of Accounts to select from, select the right account to connect to and press confirm
Once all this is done, you will be redirected back to the rent request details page with a checkmark indicating that the bank account is successfully connected. Press on the green Complete button to finalize and confirm the rent.
Congratulations! You now have a fully automated rent with electronic payments. No need to remember to send payment or track payments for your rent. You have access to your tenant dashboard at all time to message the landlord or even create service requests!
5. Managing your electronic payment rent (Landlord)
5.1 Seeing your rent status
From your rent page (accessible by clicking on the arrow next to Active in the unit row), you will see all the received payment and status of the current payment in progress. See section !!BELOW!! for payment processing times.
5.3 Upcoming invoice
From your rent page, you can see at any time the upcoming invoice for that rent. You can decide to Pause the upcoming invoice indefinitely or until a given date. If your rent is Paused, the invoice will be marked as DRAFT and will not be triggered automatically. To re-trigger the invoice you will have to press the 'Trigger Invoice' button next to the DRAFT invoice.
*Important note: pausing an invoice will not automatically re-trigger the payment once the pause period is complete. You will have to manually go to the Rent and trigger the payment on the DRAFT invoice.
