Q: Why are PAD (Pre-Authorized Debit) payment delays so long with our previous solution?

Hello, First of all, we’re truly sorry that this situation is affecting you so significantly. We want to make it absolutely clear that this is not an attempt to push you toward our new payment partner. These delays are the result of regulatory changes that affect the entire industry across Canada, not a decision made by Plexflow. Since November 2024, new federal rules regulating electronic payment services have come into effect. These rules are part of the Retail Payment Activities Act (RPAA) and specifically stem from the National Security Review process linked to that legislation. Under this framework, all companies involved in electronic payment processing must now undergo stricter compliance and verification processes, both at onboarding and on an ongoing basis. 👉 So what does this mean for DPA (Pre-Authorized Debit) payment delays? Before November 2024, DPA transfers were typically completed within 1 to 2 business days. However, due to the added compliance checks, financial institutions and payment service providers must now validate more information, which can slow down transaction processing. These checks may include: <ul> <li>Enhanced identity verification for both payer and recipient</li> <li>In-depth validation of the bank accounts involved</li> <li>Longer processing times when a new account or payment partner is used for the first time</li> <li>Mandatory delays if any risk flags are raised or unusual fund movement is detected</li> </ul> While Plexflow continues to

1. Requesting access to electronic payments

Go to your account page (accessible by pressing the User icon from the top right and selecting Profile) and press on the button Get Verified. This will send us a request to verify your account and grant you access to electronic payments, this usually takes a 15-30mins but can take up to 2 days.

2. Connect your bank account

Once you are verified, you will receive an email indicating that you are now a verified landlord on Plexflow. The next step is to connect your bank account. Press the button in the email you received or go back to your account page and press on the button Setup bank transfer. You will be redirected to the onboarding page. From there, press the Setup Bank Transfer button and press the next button Connect Bank Account, select the Automatic option. You will be redirected to our trusted and secure banking partner.

Select your bank account and enter your card number and password you use for online banking (if you do not have an online banking account we recommend you create an online banking account or return to the previous step and select Manual bank connection instead).

Renewal

Managing renewals is super simple in Plexflow. You can initiate a renewal, send to tenant for approval, and track its progress right from the platform.

Which rents are up for renewal?

It can be hard sometimes to keep track of which Lease contracts are up for renewal soon. With Plexflow that worry no longer exists. You can simply go to the tab, and look for the "Expiring rents" widget.

From that widget, you can quickly see which the most urgent rents that need to be renewed. Directly on the widget, you can initiate the renewal or mark it as Won't renew

Renewing

Start by clicking on the renew button to initiate the renewal process. This will take you to the renewal page for that rent, where you will be able to enter the renewal information.

Renewal approval outside Plexflow

If you wish to get the approval for the renewal outside of Plexflow (i.e. by calling/emailing the tenant directly), then you can skip entering the tenants' emails and click directly on the button.

Generating RL-31 documents

At the end of every calendar year, you must generate RL-31 slips and send them to all your tenants. You also must submit the documents to the government of Quebec.

That can be a tedious task, specially if you have several units to cover. Luckily, Plexflow can really simplify this task for you.

Generate a single RL-31 document

From the dashboard page, you can start by clicking on the unit you want to generate the RL-31 document for.

You should see a section called "Rents". Click on the rent period you wish to generate an RL-31 document for.

From the rent page, you can select the RL-31 tab, and then click "New +". (Note: this will only be visible if the dwelling is located in Quebec)

The form will be pre-filled with the information of the rent, so you can just click on "Ready to send" button.

You can then check the forms that were generated for the landlord and for the tenants to validate that everything is correct. Once you're ready you can click on "Send forms to the government" to submit them.
